How to message vendors effectively
Good vendor communication speeds up replies, improves quote quality, and makes it much easier to compare who is actually the right fit for your event.
Send complete first messages
The fastest way to get a useful response is to include your event date, city, event type, and any important timing details in your first message. Vendors cannot quote accurately if they are missing the basics.
A short, complete request is better than a long vague one.
- Event date
- Location or city
- Event type
- Guest count if known
- Any key timing or service notes
Compare replies, not just promises
When multiple vendors reply, compare how clearly they answer your questions. A fast, thoughtful response is often a strong signal for how coordination will feel later in the planning process.
Use aiventify to keep those conversations organized instead of bouncing between separate channels too early.
Move toward a decision
Once you have enough information, narrow your shortlist. Too many parallel conversations can make planning slower and more confusing than it needs to be.
- Shortlist your strongest options
- Ask follow-up questions only where needed
- Confirm who you want to move forward with
